Comparison
ImportToD365 vs D365 Native Import
The native Dynamics 365 import is the tool built into the platform. It works for simple cases, but has concrete limitations that hit hard on real-world data migrations and onboarding.
Side-by-side comparison
| Criterion | ImportToD365 | D365 Native Import |
|---|---|---|
| File size limit | Up to 50 MB per file | 8 MB per file / 32 MB compressed |
| Rows per import | Limited only by file size | Up to 20,000 (official Microsoft recommendation) |
| Supported formats | Excel, CSV | CSV, XML, TXT only |
| Pre-import validation | Complete — errors with per-record context | Minimal — generic errors after upload |
| Fix Center (inline correction) | Yes — direct editing without leaving the tool | No — must fix source file and re-upload |
| Duplicate detection vs live CRM | Yes — record-by-record comparison | Basic — predefined rules only, no fine control |
| Existing CRM records | Never modified — only approved records get created | Key-based import can overwrite them |
| Data correction | Yes — inline in the Fix Center, before importing | No — file must arrive clean |
| Import history | Yes — with downloadable row-by-row report | Status only (success/fail), no detail |
| Additional cost | $0 on Free plan (500 rows/month) | $0 (included in D365) |

The verdict
D365's native import is fine for a clean 200-row CSV. But when you're working with real-world data — inconsistent formats, potential duplicates, and clients expecting results — the limitations become real costs: hours of manual cleanup, partial imports, and the risk of inconsistencies in the CRM.
ImportToD365 replaces that "upload, pray, cleanup" loop with an audited flow where you control every record before it touches Dynamics.
